We process your personal data under the following legal bases:

• Performance of a Contract: To manage your booking, register your reservation, process your payments, coordinate room assignments, and keep you updated on retreat logistics.
• Your Explicit Consent: We only process health-related details (special category data) and dietary requirements that you voluntarily share in order to adapt our yoga sessions and meals for your safety. You may withdraw this consent at any time. We also rely on your consent to send you marketing newsletters.
• Legitimate Interests: To respond to your questions, improve our retreat planning, gather feedback, and protect our business interests.

3. Who We Share Your Data With

We respect your privacy and will never sell, trade, or rent your personal data. To run our retreat and website services, we share information with a limited number of trusted partners:

• Hôtel Les Messugues: We share guest names, room selections, and dietary requirements with the hotel management in Saint-Paul-de-Vence to facilitate your stay and meals. We do NOT share your sensitive health or injury logs with the hotel.
• Formspree: Our booking interest and newsletter forms use Formspree to securely capture and deliver your submissions to our team inbox.
• EmailJS: We use EmailJS to deliver automated confirmation emails immediately after you submit a booking request.
• Email & Communication Tools: Standard office utilities used by our co-founders to correspond with you.

4. Data Storage, Security, and Transfers

We implement appropriate technical and organisational security measures to protect your personal data against accidental loss, disclosure, or unauthorised access.

Because our retreat venue is in France, and some service providers (such as email delivery networks or form handlers) maintain servers outside the UK, your data may be processed in or transferred to locations within the European Economic Area (EEA) or globally. Where international transfers occur, we ensure standard contractual clauses or adequacy regulations are in place to safeguard your privacy rights.

We retain your booking and health information only as long as necessary to deliver the retreat experience (e.g. up to 1 year following the completion of the retreat in May 2027, unless required for legal, tax, or accounting purposes).
